Our cancellation and refund guidelines

Overview

At Well-Verse Language Academy, we strive to provide quality language education. We understand that circumstances may change, and we have established this refund policy to be fair to both our students and the academy.

Please read this policy carefully before enrolling in any course. By enrolling, you agree to the terms outlined below.

Demo Classes

We offer free demo classes for most of our courses to help you make an informed decision before enrolling.

Free Demo: Demo classes are offered at no cost. We encourage all prospective students to attend a demo session before making any payment.

If you have paid for any demo-related materials or special demo sessions, please note:

  • Demo class fees are non-refundable
  • Any materials provided during demo sessions must be returned if unused

Refund Before Course Starts

If you wish to cancel your enrollment before the course begins:

Partial Refund Policy

  • 7+ days before course start: 80% refund of the total fee
  • 3-7 days before course start: 50% refund of the total fee
  • Less than 3 days before course start: No refund

Important Notes:

  • The deducted amount covers administrative costs and course preparation
  • Refund requests must be submitted in writing via email
  • The date of the email will be considered as the cancellation date

No Refund After Course Begins

Important

No refunds will be issued once the course has commenced. This applies regardless of attendance or participation.

This policy applies to:

  • Students who stop attending classes
  • Students who fail to complete the course
  • Students who are unable to attend due to personal reasons
  • Students who do not meet attendance requirements

Alternatives to Refund:

  • Course Deferral: In exceptional circumstances, you may request to defer to the next batch (subject to approval)
  • Course Transfer: Transfer your enrollment to another person (subject to approval and administrative fee)

Installment Payments

For students who opt for installment payment:

  • 1st Installment: Due before the first class
  • 2nd Installment: Due within 20 days of course start

Refund Policy for Installments:

  • First installment is non-refundable once the course starts
  • If you cancel before the course starts, refund terms apply only to payments made
  • Outstanding installments remain payable even if you stop attending

No Late Fees: We do not charge any late payment fees for installments. However, timely payment is appreciated and expected.

Course Cancellation by Academy

In rare cases, we may need to cancel a course due to:

  • Insufficient enrollments
  • Unavailability of instructor
  • Unforeseen circumstances (force majeure)

In such cases:

  • Full refund will be provided for the cancelled course
  • Alternatively, students can opt to transfer to another batch or course of equal value
  • Refund will be processed within 7-10 business days

Refund Process

To request a refund:

  1. Send an email to wellverseindia@gmail.com with subject "Refund Request"
  2. Include your full name, enrolled course, and reason for cancellation
  3. Attach proof of payment (receipt or transaction ID)
  4. Our team will acknowledge your request within 24 hours
  5. Eligible refunds will be processed within 7-10 business days

Refund Method:

  • Refunds will be credited to the original payment method
  • UPI/Bank transfers may take 3-5 business days to reflect
  • Card refunds may take 5-7 business days depending on your bank

Non-Refundable Items

The following are non-refundable under any circumstances:

  • Demo class fees (if any paid demo was attended)
  • Course materials already provided (books, PDFs, recordings)
  • Certificate issuance fees
  • Any promotional or discounted portion of the fees
  • Administrative or processing fees

Note: Physical study materials provided must be returned in unused condition for any partial refund to be processed.

Technical Issues

For online courses, if you experience persistent technical issues:

  • Report the issue immediately to our support team
  • Issues at your end (internet, device) are not grounds for refund
  • If the issue is from our side, we will provide makeup classes or recorded sessions

Our Responsibility:

  • We ensure stable Google Meet sessions for online classes
  • If a class is cancelled due to our technical issues, it will be rescheduled
  • Recorded sessions (45-minute) are available for review

Disputes & Grievances

If you are not satisfied with our refund decision:

  1. Send a detailed email to wellverseindia@gmail.com explaining your concern
  2. Our team will review your case within 3-5 business days
  3. A final decision will be communicated via email
  4. All disputes are subject to the jurisdiction of courts in Pune, Maharashtra

We aim to resolve all grievances amicably and in the best interest of both parties.
